Salesforce Data Protection: Is Weekly Export Your Only Fallback Plan?

How do we protect our personal data and make sure that we can access it whenever we need it? Let’s look at the “then” versus the “now” approach.
Then: Let’s turn back the clock a bit. Remember how we protected our personal data 5 years ago? The answer is simple: We created backups of the data. We copied the data to multiple locations, preferably to a hard disk. If we lost some data from the primary copy, we looked for the alternate location. Then we searched through the copied data and tried to find the needle in the haystack to restore the lost data.
To avoid inaccessibility to our important data, we used to protect the hard disk and carry it along with us everywhere. Did we see hard drive failures? Yes. Did we lose data with this approach? Occasionally. Did we fear that data was being misused if the drive was stolen? Absolutely.
Now: With the advent of cloud-based drives and vaults, life is simpler. We copy our data to our cloud drive, which provides high availability, advanced search capabilities, data security, and access from anywhere. Recovering our important data has become a cake walk.
So, how is the “then” versus “now” analogy relevant to Salesforce data protection?
Let’s look at the gist of conversations that I had with several Salesforce administrators while I researched the need for Salesforce data protection. Here’s a summary of Q&A between us.
Saurabh: How do you back up your Salesforce data?
Salesforce administrator: We use the export feature from Salesforce to download a copy of our Salesforce data weekly. This copy is a collection of comma-separated value (CSV) files that contain data for different objects in the form of a ZIP file. We then copy the ZIP file to multiple locations for high availability.
Saurabh: What do you do if someone reports data loss?
Salesforce administrator: We go back to the ZIP file, locate the relevant CSV file, then search for the record. After we have found it, we use the import feature or Data Loader from Salesforce to restore the record.
Saurabh: What if the user wants a record from an older point in time?
Salesforce administrator: We locate the older weekly export ZIP file and repeat the previously mentioned procedure.
Saurabh: What if the data was created and was lost in between two weekly exports? After all, 1 week is a long time, and you can’t export the Salesforce data at a greater frequency given the Salesforce limits.
Salesforce administrator: We don’t have a plan for such a situation.
Saurabh: The business value that Salesforce provides is all about data correlation, which is possible only if you have relationships preserved. With the current approach, data relationships can’t be restored. How do you overcome this problem?
Salesforce administrator: We don’t have a plan for such a situation.
Saurabh: Metadata is an important component of a Salesforce org. Given the likelihood of customizations in Salesforce orgs, it becomes more important. How do you back up the metadata?
Salesforce administrator: We don’t have a plan for such a situation.
